We have always helped customers address their GDPR and data retention requirements in KYCP. This however was a mix of running complex scripts and reports leading to a process that always required some time to setup and manage.
This new feature introduces a new module that allows customers to configure their own data retention policies through the no-code interface, allowing them to be alerted in real time when records hit the required policies.
This new data retention management feature allows customers to automatically track how long applications and entities are retained based on defined policies. Once the retention period is exceeded, alerts are triggered and can be managed from a new panel, like the Notification panel. Only users with the appropriate rights can view and act on these alerts.
On the Home screen the latest 5 alerts are displayed, with the option to open the full list in a separate window.

A new module in the Programmes Section of KYCP is being introduced called, Data Retentions. This new module allows you to create policies on LIVE data (active applications within the workflow of KYCP) as well as on DELETED data.
- Policies on LIVE applications
Users can create policies based on certain application and entity level data. A policy can be triggered on Application Created Date, the Status that the application is in as well as on any field relating to an entity that is of type date. Once this is done the user can then define the period in days, months or years, after which the alert will be triggered.
This allows you to generate alerts based on conditions such as applications older than a defined period, applications in a specific status for a set time, or entity date fields exceeding the defined retention period.

- Policies on DELETED applications
This option is similar to the above, however applicable to the items that have been deleted and are sitting in the newly launched module of DELETED RECORDS. This allows you to set alerts on records that have been sitting in this folder for a period of time.

At the bottom of the page, all created policies are displayed in a list. From here, you can view the policy details and manage them directly. You can activate or deactivate a policy using the Active checkbox, edit an existing policy using the Edit option, or remove it using Delete.

Important to note that this module will not automatically delete the applications or entities in question. But rather, it will raise an alert of an application hitting the retention period. The user with the right to see such alerts will be able to then work on the record of retention and decide it they want to delete the entire application/entity or else simply obfuscate certain field values.
