One of the most basic features within a system like KYCP is the function of deleting a record. One assumes it’s available and that it works. A feature that was made slightly more complex with the introduction of GDPR yet one that needs to offer the full option of retaining certain data for AML purposes and not, based on certain cases.
This new feature introduces the concept of Recycle Bin in KYCP. A feature that allows you to recover certain elements of an application whilst it’s still sitting in this new temporary location.
Currently KYCP allows the user to delete a record by right clicking on the application or entity and choosing the DELETE icon. This will then allow the user to decide if they want to delete the record “logically” or “physically”. The latter option will delete all the aspects of the record from KYCP including audits, notes, comments and all items related to the record. There is no means how one would know what the record was in the solution as there is no trace of it existing in the first place. The “logical delete” option however would leave an audit that there existed a record and was deleted. This option would purely allow an investigation to be aware of a record that existed and was deleted. An option that was often perceived by customers as one that would allow them to retrieve the record (causing quite some grief in some cases when they realised that it was not possible). All of these settings are also based on rights, allowing customer to decide which users can delete records withinKYCP.
The new feature changes the way the DELETE function works on both entities as well as applications. Upon trying to delete an application or entity the system will prompt the user to type the word DELETE in a text box to avoid users doing such an action by mistake. Such records will go automatically in the new secured temporary folder called DELETED RECORDS that can be accessed from within the right-hand side menu of the system. This location can only be accessed based on a right that you assign to a user.
This new screen (which is similar in nature to the concept of a Recycle Bin) allows the authorised user to see all deleted applications and entities. Whilst such deleted records can never be re-instated within the live case itself, this new module allows the user to EXPORT the related data of the application to a PDF. If the user has the right they can also physically delete the records from the system (be it one at a time as well as in bulk).
This new feature streamlines the process of deletion of records as well as allows the authorised users to be able to retrieve data in PDF form as well as physically delete all records at any point in time.
